PowerSchool’s Legal Administrator plays a vital role in supporting the legal department and the company’s commercial operations and contracting processes and activities. This role will support commercial operations, contracting drafting and negotiations, and daily operational contract administration needs of the department and requires working in a fast-paced environment alongside PowerSchool’s attorneys and business stakeholders.  This role will provide administrative and legal support to the attorneys and contract administrators; manage legal operations and daily operational needs; procure signatures for legal documents; complete vendor and customer forms; manage contract lifecycle; file, organize and search contracts; oversee contract data abstraction, database maintenance, and contract administration; and support other legal administrator and management functions as requested. Additionally, the Legal Administrator will assist the legal department by communicating directly with customers, vendors, and various PowerSchool departments to facilitate all aspects of the contracting process, while gaining valuable experience in cross-functional contract management.

  • Support the Vice President of Legal and the commercial team in executing on department and company priorities and strategies.
  • Work with legal, services, sales, and finance departments to prioritize and facilitate timely resolution of client contracting and Salesforce management.
  • Provide administrative support for the legal department.
  • Assist the contracting function by finalizing and submitting contracts for execution; tracking contract status, and properly filing the executed agreement.
  • Assist the contract administration team to maintain company contract and document routing and archival systems and processes, including document retrieval, working with PowerSchool’s systems and IT administrators.
  • Develop, track, and improve efficiencies, processes and controls of contract management platforms, tools, and processes.
  • Serve as liaison with insurance broker.
  • Provide legal support to various internal stakeholders, including sales and renewal teams.
  • Edit quotes and other customer and vendor documents.
  • Assist with SOX compliance processes on behalf of legal.
  • Assist the contract data migration projects for current company entities and as part of any acquisitions or corporate restructures.
  • Maintain and update department policies and intranet site.
  • Preparing legal documents whether commercial, regulatory or vendor forms, or litigation matters.
  • Preparing materials, including PowerPoint presentations, for internal meetings, external proceedings including documents, evidence and verifying information.
  • Researching and compiling information to assist with an assignment.
  • Assisting with accounting and billing
  • Maintenance of a records and assisting in the coordination of litigation, compliance, commercial matters.
  • Other duties as assigned.

Qualifications include:

  • Minimum of 3-5 years’ experience partnering with attorneys at a top law firm, or at a public or private entity supporting contract administration, management, preparation, and negotiation.
  • A paralegal certificate is a plus.
  • College degree in business/finance/accounting or legal field, preferred.
  • Strong project management, detail orientation, interpersonal and verbal and written communication skills.
  • Ability to interact effectively with all corporate levels and departments within the company and with clientele.
  • Must be customer service-oriented; with an ability to collaborate effectively with others and ability to support team members and other internal stakeholders.
  • Excellent organizational skills and ability to multi-task and prioritize numerous assignments simultaneously.
  • Experience supporting, developing, and implementing processes and policies.
  • Ability to analyze and solve problems with minimal direction.
  • Advanced computer literacy and extensive experience and ability to navigate and use various technology platforms, including Adobe, Salesforce, FreshService, Excel, advanced editing with Microsoft Word, NetSuite, Confluence, Zoom, Microsoft Teams, and other applications.
  • Comfortable working with technologies such as contract database management, multiple cloud-hosted solutions, supporting the upkeep of an intra-site containing PowerSchool legal policies and training for the company.
  • Ability to work at a high level of autonomy to manage multiple ongoing contractual and legal issues with minimum supervision.
  • Ability to handle and prioritize a high and diverse volume of contractual and other legal matters with self- initiation of problem identification and resolution.
  • Talent for organization, efficiency, and proactive improvement of the status quo.
  • Great attention to detail.
  • Proven experience as a legal administrator or assistant working on high volume and high impact transactions with various types of customers, vendors, partners, etc.
